Job Description

Our client is seeking a highly organized, proactive Executive Assistant to keep our senior leadership running at full speed. In this role, you'll report directly to our SVP of Marketing and serve as a key support resource across our executive leadership team. You'll own the day-to-day administrative rhythm for two senior leaders — managing calendars, tracking priorities, and ensuring nothing falls through the cracks — while also playing a meaningful role in planning company and department offsites and special projects that reflect the brand: creative, intentional, and a little unexpected.
  • Pay $40 per hour
  • Fully remote
  • Confirmed 3 months, with "anything can happen" potential to convert
  • 30-40 hours per week, most likely closer to 40
  • ET or CT ideal time zones
Responsibilities:
  • Own and manage calendars for the SVP of Marketing and SVP of Creative & Brand, including scheduling meetings, resolving conflicts, and maintaining a daily agenda that keeps both leaders focused and on track
  • Run morning huddles and end-of-day check-ins to surface priorities, flag blockers, and ensure follow-through on outstanding items
  • Attend key meetings, capture action items and next steps, and proactively follow up with stakeholders to keep projects moving
  • Serve as a connective tissue across the exec team — anticipating needs, gathering information, and removing friction before it becomes a problem
  • Support light project management for cross-functional initiatives, tracking progress and escalating when timelines are at risk
  • Support planning company and team offsites as needed: venue & activity research, travel logistics, scheduling, vendor coordination, and on-site execution
  • Bring genuine taste and cultural awareness to offsite and event planning, helping create experiences
  • Serve as a shared resource for the broader executive leadership team as needs arise
Required Qualifications:
  • You have 3+ years of experience supporting senior executives, ideally in a marketing, creative, or brand-forward environment
  • You are exceptionally organized — you build the system before being asked and maintain it without reminders
  • You are fluent in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and Slack, and you use these tools in sophisticated ways — not just the basics
  • You are curious about and actively using AI tools (Claude, ChatGPT or similar) to work smarter — whether that's drafting communications, summarizing notes, or finding faster ways to get things done
  • You're a proactive communicator: you follow up, close the loop, and never let something fall through because you forgot to check in
  • You have experience with event or offsite planning — coordinating logistics, booking travel, and managing vendors feels like second nature
  • You work well independently and can self-direct across multiple priorities without losing focus
  • You have great taste and a genuine pulse on culture — you'd bring that eye to offsite planning and feel comfortable operating in a creative, founder-led environment
  • You are calm, buttoned-up, and solution-oriented when things move fast or change unexpectedly
