Job Description

Express Employment Professionals is currently recruiting for our Jamestown, NY client. We are looking for an Office Assistant/ Accounts Payable Clerk.

The Accounts Payable & Office Assistant supports daily financial and administrative operations by managing vendor payments, maintaining accurate financial records, and providing general office support. This role requires strong attention to detail, organizational skills, and the ability to manage multiple priorities in a professional office environment.

Key Responsibilities Accounts Payable Duties

  • Process vendor invoices accurately and in a timely manner, ensuring proper coding and approval.
  • Match invoices with purchase orders and receiving documentation.
  • Prepare and process weekly or monthly check runs and electronic payments.
  • Maintain vendor files, resolve billing discrepancies, and communicate with vendors as needed.
  • Reconcile accounts payable transactions and assist with month-end closing activities.
  • Ensure compliance with company policies and basic accounting procedures.
  • Maintain organized and audit-ready financial records.

Office Assistant Duties

  • Provide general administrative support including filing, data entry, document preparation, and record maintenance.
  • Answer and direct phone calls, emails, and visitor inquiries in a professional manner.
  • Maintain office supplies inventory and place orders as needed.
  • Assist with scheduling, correspondence, and coordination of meetings.
  • Support other departments with clerical tasks as assigned.
  • Maintain confidentiality of financial and company information.

Required Qualifications

  • High school diploma or GED required; associate degree or coursework in accounting or business preferred.
  • Prior experience in accounts payable, bookkeeping, or office administration preferred.
  • Basic understanding of accounting principles.
  • Proficiency in Microsoft Office (Word, Excel; accounting software experience a plus).
  • Strong attention to detail and organizational skills.
  • Ability to handle confidential information with discretion.
  • Reliable, dependable, and professional work ethic.

Hours are flexible and pay is based on experience.
